Blackstone Talent Group, an award-winning technology consulting and talent agency is seeking a Executive Assistant to join our Client's team.
About the Opportunity:
The Executive Assistant will support the CTO by providing high-level administrative and organizational support, acting as a gatekeeper, liaison, and organizer. This role is crucial in ensuring the CTO's effectiveness by proactively managing their schedule, communications, and key projects. The Executive Assistant will be a trusted partner, exercising professionalism, discretion, and a collaborative mindset and approach. The ideal candidate will be a proactive problem-solver with exceptional communication skills, strong attention to detail, and the ability to work independently. This role demands confidentiality, professionalism, and the ability to manage multiple priorities. This role will be based in Redwood City, CA.

In this role you will be responsible for:
- Coordinating and managing the complex calendar of the CTO, scheduling meetings, resolving conflicts, and ensuring efficient time management.
- Arranging domestic and international travel for the CTO, including detailed itineraries and necessary documentation.
- Acting as a liaison for internal teams and external stakeholders, handling communications and fostering productive relationships.
- Preparing and handling confidential documentation with a high level of discretion.
- Planning, collaborating on, and executing key events, leadership meetings, off-sites, and other executive functions.
- Assisting in project management and special initiatives by tracking key milestones and ensuring deadlines are met.
The essential requirements of the job include:
- Minimum of 7 years as an Executive Assistant supporting senior executives, preferably in a fast-paced, high-growth environment.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong multitasking and communication ability with a demonstrated capacity to prioritize effectively in high-pressure situations.
- High attention to detail and accuracy in all aspects of work, including scheduling, document preparation, and communication.
Additional experience that would be valuable for this role includes:
- Experience supporting complex, cross-functional projects and initiatives.
- Prior experience in life sciences or biotechnology industry is a plus.
